Check That the Household Document Backup Can Be Opened

Identify the files and current source, use a secure appropriate backup method, then open a copied file from the backup location and record what was actually verified.

Choose the records you would actually need again

Start with a small set of household documents that would be difficult to replace or useful during an existing responsibility. A receipt, accepted service agreement, or completed family record may belong in that set. Do not gather every old download just because it is on the same device. Identify the current authoritative file and who may access it. This exercise organizes a backup of selected records; it does not authorize another adult to read private information outside their role. Keep original documents in place while you learn whether the chosen backup method copies what you intended.

Use a secure method suited to the files

CISA recommends backing up data to a secure external drive or a properly vetted cloud service and taking steps to protect stored information. Use the current instructions for an appropriate existing method rather than inventing a new storage arrangement from memory. Check which folders or files the method actually covers. A desktop shortcut or a list of filenames is not the document content. Read the provider's or device maker's official directions if the backup scope is unclear. Do not upload household records to an unfamiliar service merely because its advertisement promises effortless protection. The family should understand the storage choice and permitted access.

Keep the copy and the original distinguishable

Write where the original lives and where the backup can be found. Preserve the filename and enough date or version information to distinguish the current record from an earlier copy. If a document changed after the last backup, that backup may still contain only the older version. Record that gap instead of calling the whole folder current. Do not delete the source file as part of this first check. Copying and moving are different operations. An adult who wants to reorganize originals later can make that separate decision after the verified copies and any retention requirements have been considered.

Open a copied file from the backup location

Choose a representative nonsecret file and open its backup copy through the actual backup location or restore process. Check that it contains the expected readable content, not just that a filename appears. If the method requires a restoration step, follow its official directions without replacing the original during this check. Note the exact file and version you verified. One successful file check does not prove that every household document was copied or that every future recovery will work. It gives you useful evidence for this set of files and a concrete problem to solve if the copy is missing, outdated, or unreadable.

Assign the next backup and its care

Use the Household Document Backup and Readback Note to keep the copied set, location, completed check, and next update responsibility together. CISA advises storing an external backup drive safely and avoiding leaving it connected when it is not being used for backup. Follow the chosen method's relevant guidance for access, protection, and later copies. Keep passwords and recovery secrets out of a routine family worksheet. A document update should trigger a review of whether the backup needs updating too. The finish is a retrievable copy checked on its own terms, with an adult responsible for keeping the selected records current.
