Check the Rooming Policy Before Promising a Team Overnight Arrangement

Identify the applicable program lodging policy, review the actual sleeping arrangement and required consent, and confirm authorized supervision duties. A booking, parental enthusiasm or available bed does not establish that the rooming plan is approved.

Separate the available room from the approved arrangement

An extra hotel bed appears to solve a late travel problem, and someone offers it to a minor athlete before checking the team’s lodging policy. Pause the promise. A reservation confirms accommodation with a provider; it does not approve the organization’s arrangement for children and adults. Identify who organized or authorized the lodging and which program rules govern the actual people and sport-related contact.

SafeSport’s MAAPP lodging rules address covered in-program arrangements within the U.S. Olympic and Paralympic Movement. Its guidance includes hotels, rentals and other residential settings. Other organizations may adopt these policies or have additional requirements. Do not assume every parent-arranged trip has identical coverage, and do not assume calling a trip informal removes an actual program duty. Have the responsible organization clarify an uncertain scope.

Review who will sleep in each proposed room

SafeSport’s guidance says an Adult Participant cannot share a hotel room or sleep in the same room with a Minor Athlete unless a policy exception exists. Applicable exceptions require advance written consent for the specific arrangement. A parent’s general agreement to travel does not create an exception by itself. Read the current actual policy definitions and conditions rather than relying on the adult’s familiarity to the family.

Give the authorized decision-maker the relevant arrangement without distributing children’s private room details broadly. Mark a proposal as unapproved while the question is being resolved. Do not tell the athlete their bed is settled and later make them responsible for disappointing the volunteer. If the arrangement cannot meet the requirements, find an approved alternative through the responsible adults before making the promise.

Keep consent and overnight duties explicit

SafeSport’s lodging guidance requires written parent or guardian consent for covered in-program lodging at least annually and allows that consent to be withdrawn. Confirm the organization’s actual current process, including any arrangement-specific requirements. Use its approved forms and private records. This worksheet is not a consent form and should not collect signatures or sensitive rooming information in place of that system.

Review the approved overnight supervision and room-check arrangements with the responsible staff. SafeSport requires at least two Adult Participants for covered room checks. Do not turn a door check into a one-adult private conversation or assume another adult elsewhere in the hotel fills the same role. Confirm training and other duties through the actual policy. An adult listed as available may still need to accept the assigned responsibility.

Carry a change back through the same decision process

In a hypothetical trip plan, one adult can no longer travel and a proposed shared room would change. Staff keeps the revised arrangement unapproved while the organization checks policy, suitable alternatives and required consent. The child is not asked to decide whether the adult’s good intentions make the change acceptable. The adults resolve the plan through the authority that owns it.

Record the policy reference, proposal status and responsible follow-up without putting names and room numbers on this general planning sheet. Recheck a changed traveler, room arrangement or supervision assignment before treating the earlier approval as current. If a protection concern arises during travel, use the proper immediate safeguarding and reporting route. Completing a rooming checklist neither approves a questionable arrangement nor replaces the adult’s ongoing duties toward the athletes.
