Account for Each Athlete After a Practice Evacuation
Use the approved venue and program emergency plan to assign athlete accounting, maintain a current attendance reference and communicate unresolved people promptly. A group count alone should not hide a missing or misidentified child.
Put emergency accounting inside the approved plan
The group reaches the assembly area, and one coach says the number looks right. That is the moment an emergency plan needs an assigned accounting duty. Review the actual venue and program procedures with the responsible leader before practice. Establish who accounts for athletes, how that adult communicates with the incident lead and what happens when someone cannot be confirmed. A coach should not invent a competing evacuation system during an alarm.
The Office of Head Start’s emergency guidance assigns an attendance and reunification lead to account for children and staff, using redundant checks after movement. That resource addresses early childhood programs. Our sports application is a planning question for the responsible program and venue, not a claim that Head Start rules govern a youth team. The actual approved emergency arrangements remain the authority.

Use the people actually in care as the reference
Ask how the emergency accounting adult can access current session attendance without delaying necessary evacuation. A season roster may contain children who never arrived, while a late arrival may be absent from an old printed list. Use the program’s approved process to keep the reference current. Do not stop an urgent exit to complete a neat administrative record or send a child back for a device.
Review common changes during the session: a properly documented early departure, an athlete with another authorized adult, or a new participant accepted under the program’s rules. These are facts to confirm through the actual responsible adults. A familiar face is not a reliable substitute for an identified child. Keep rosters and private care information in the restricted systems the program requires, not in a publicly shared worksheet.

Check identities and report what remains unresolved
Have the responsible leader explain the approved method for confirming each athlete after movement. A total alone can conceal one unexpected person and one missing expected person. Appropriate identity checks should fit the program’s plan, age group and setting. Confirm the process in advance rather than adding a prolonged roll call that conflicts with current emergency instructions.
If a person is unaccounted for, communicate that fact immediately through the approved incident and emergency route, with accurate last-known information where available. Do not label the person absent merely because the count is inconvenient. Do not send athletes or unassigned adults back into danger to search. Follow emergency responders and the venue’s actual direction. The notes here support preparation and review; they cannot establish anyone’s location during an emergency.

Practice the discrepancy on paper before relying on the system
Use an authorized tabletop discussion to test one realistic mismatch. In a hypothetical example, the season roster lists sixteen athletes, but today’s attendance includes an early departure and a late arrival. Staff explain how the approved record would reflect both and how the accounting adult would confirm the actual group. No child needs to be hidden or falsely reported missing for the exercise.
Record the specific gap, the responsible decision-maker and the change to the approved procedure. Keep emergency accounting separate from routine attendance consequences; an unresolved person is a protection concern, not a disciplinary mark. Confirm how the program carries responsibility through any later relocation or authorized release. The useful result is an agreed way to know who is accounted for and to make an unanswered identity visible promptly.

Hypothetical example: Staff use a paper scenario with an early departure and late arrival to check that emergency accounting follows today’s athletes, rather than the season roster total.
