Hand a Youth Practice to the Substitute Coach Clearly
Confirm the substitute's authorization, hand over one current plan with its limits, and verify that the receiving adult accepts the responsibilities before the session.
A familiar adult is not automatically the session's coach
You will miss one practice, and someone who often helps is willing to cover it. Confirm that the program authorizes this adult for the actual role and session before treating the handoff as complete. Approval, required preparation, supervision, and technical responsibility depend on the program's current rules. This article organizes information; it does not qualify or clear a substitute. If the authorized arrangement is not established, the program leader must decide whether to change or hold the session. Do not transfer responsibility through a casual message and hope it is accepted.
Hand over one current plan
Give the receiving coach the approved date, location, attendance procedure, session outline, and finish arrangements in one dated version. Mark any earlier version as superseded. Explain which activities are already approved and which decisions remain for the responsible qualified coach. An original coach's notes should not force the substitute to deliver technical instruction beyond their competence or authorization. Identify the appropriate person to consult about that limitation. A usable handoff tells the substitute what the session actually requires rather than offering a collection of old plans to sort through.
Identify responsibilities at the boundaries
List who handles attendance, assistant direction, parent questions, equipment, and dismissal under the program's actual procedures. The substitute needs to know where each duty begins and ends. Keep sensitive athlete information in the authorized system and share it only as required with appropriate people; do not copy unnecessary family details into a general session note. Include the program's response route for an immediate concern. A guardian's emergency number, a safety protocol, and a routine schedule question are different kinds of information with different responsibilities.
Keep unresolved decisions visible
A late registration question, unavailable facility area, or pending permission can affect what the substitute may do. Record the issue, decision owner, current status, and action to take if no decision arrives. Do not write a tentative permission as confirmed. Specify which activities must wait for the responsible authority. The substitute should receive the uncertainty before athletes arrive, not discover it when an assistant mentions a conflicting instruction. If a new issue appears after the handoff, send a dated update through the approved channel and confirm it reached the receiving adult.
Ask the receiving coach to accept the handoff
Walk through the actual plan with the substitute and ask them to identify their responsibilities, limits, and contact route. A sent file is preparation; acceptance requires a real response from the authorized receiving adult. Resolve any gap before calling the arrangement settled. Agree on the return report: attendance changes, completed duties, unresolved incidents, and equipment status through approved systems. Do not require a substitute to declare the session safe or successful simply to close the record. Record what happened and route concerns through the appropriate program process.
Use counsel and finish the return
Proverbs 15:22 commends counsel in planning. This one-session handoff is an editorial application of seeking appropriate help, not proof that any willing helper is qualified. After the session, receive the agreed report and clarify unresolved responsibilities with the program leader. Compare the current plan with the actual session without blaming the substitute for instructions you failed to provide. Keep the smallest useful correction for the next absence. A verified handoff and return report are organizational facts; they do not establish a guaranteed athletic outcome or replace governing requirements.

See a worked example
Example: An authorized substitute accepts the current organizational plan but cannot direct one technical activity. The responsible program leader changes that portion before the session; the limit and return report remain in the handoff.
