Finish Youth Practice With a Clear Dismissal Handoff
Confirm the program's release process, keep the current attendance record, and have the authorized adult resolve every incomplete dismissal through that policy.
Treat the end of practice as an adult responsibility
The final activity ends, several families appear, and one child says a different adult will pick them up. Do not let the rush replace the program's actual release policy. Before the session, confirm who is authorized to supervise dismissal, what arrangements the program permits, and how changes are verified. This article organizes the handoff; it does not decide legal custody or establish a universal release rule. An athlete's statement can identify a question that needs checking, but it should not invent permission the responsible adult has not confirmed.
Start with the attendance you actually have
The dismissal record must reflect who attended and who remains under the program's supervision. Use the approved system rather than a casual estimate from the number of bags left in the room. Account for authorized early departures and any athlete who joined late. Keep the record accessible to the responsible adults and protect private family details from unnecessary group exposure. If attendance is uncertain, resolve that discrepancy before treating the session as closed. A neat line of athletes does not prove that every person has been accounted for.
Give each adult a defined handoff duty
Name the adult who checks release, the person supervising athletes still waiting, and the authorized contact for a changed or missing arrangement. Confirm that those assignments comply with the program's actual staffing and safeguarding requirements. A helper should know when a question exceeds their role and whom to contact. Avoid assuming the head coach is handling a child because the coach is standing nearby. The worksheet separates the release checker from the waiting-group duty so a conversation with one family does not silently remove supervision from everyone else.
Prepare for an incomplete pickup arrangement
Use the program's defined process for a late adult, unverified change, or person whose authorization is uncertain. Have the proper contact route available to the authorized staff. Do not improvise a private ride, send a child to search for an adult outside the permitted arrangement, or change a release based on pressure from the group. If there is an immediate safety concern, follow the appropriate emergency and safeguarding procedures. Record the unresolved issue and responsible adult without publishing family information or claiming that a phone call settled an unconfirmed decision.
Check the actual governing policy
The U.S. Center for SafeSport states that MAAPP is required throughout the U.S. Olympic and Paralympic Movement and addresses adult-minor interactions. That scope is not a statement that every youth program has identical obligations. Covered programs must use their applicable organization-specific policy; other programs must identify their own governing requirements. Read the actual current release and interaction rules before using this organizational worksheet. A completed form is not compliance certification. Where the policy is unclear, the program leader must resolve the issue rather than letting a generic checklist supply a new rule.

Close with a truthful record and patient care
First Thessalonians 5:14 calls for patience toward people and support appropriate to their need. A careful dismissal handoff is an editorial application of patient responsibility, not a biblical custody procedure. Record each completed release through the approved method and distinguish athletes still waiting from those released. Hand unresolved matters to the authorized person before your own duty ends. Review the specific point that caused confusion and add the smallest useful clarification. Do not claim the session was safely closed merely because the room became empty; the record must reflect the actual authorized handoffs.

See a worked example
Example: One pickup arrangement differs from the verified record. The assigned adult follows the program's change-verification process while another authorized adult continues the waiting-group duty; the unresolved status stays visible.
